We understand that circumstances may arise where you need to request a refund or cancellation. This Refund Policy outlines the terms and conditions for refunds and cancellations of our services.

Booking Deposits

A non-refundable booking deposit is required to secure your photography session date and time. This deposit is typically 25% of the total service fee and is applied toward your total balance. The booking deposit serves to reserve our services exclusively for you on the agreed date and time, and to cover administrative costs associated with booking.

Booking deposits are non-refundable under the following circumstances:

  • Client cancellation for any reason
  • Date changes requested by the client that cannot be accommodated
  • No-shows or failure to attend the scheduled session

In certain exceptional circumstances, at our sole discretion, we may allow the booking deposit to be transferred to a future session within 6 months of the original date.

Cancellation Policy

Client Cancellations

If you need to cancel your booking, the following terms apply:

  • Cancellations made more than 60 days before the session date: Deposit is non-refundable, but may be applied to a future session within 6 months at our discretion.
  • Cancellations made 30-60 days before the session date: 50% of the total fee is due.
  • Cancellations made less than 30 days before the session date: 100% of the total fee is due.

All cancellation requests must be submitted in writing via email to [email protected].

Special Circumstances

We understand that emergencies and unforeseen circumstances can occur. In cases of serious illness, injury, or bereavement, please contact us as soon as possible. Such situations will be considered on a case-by-case basis, and we may, at our discretion, offer alternative arrangements.

Weather-Related Cancellations

For outdoor sessions affected by inclement weather:

  • The decision to reschedule due to weather conditions will be made by Quiet Garden Photography.
  • If we determine that weather conditions are unsuitable for quality photography, we will contact you to reschedule at no additional cost.
  • Weather-related rescheduling does not qualify for a refund.
  • Personal preferences regarding weather conditions (e.g., overcast vs. sunny) are not grounds for refunds or free rescheduling.

Photographer Cancellation

In the unlikely event that we must cancel due to illness, emergency, or other circumstances beyond our control:

  • We will make every effort to notify you as soon as possible.
  • We will offer to reschedule your session at a mutually convenient time.
  • If rescheduling is not possible or desired, a full refund of all payments made will be provided.

In the event of photographer cancellation due to force majeure events (natural disasters, acts of government, etc.), we will work with you to reschedule. If rescheduling is not possible, we may provide a pro-rated refund based on any services already rendered.

Service Dissatisfaction

Our goal is to exceed your expectations with our photography services. However, if you are dissatisfied with the quality of our services:

  • You must notify us in writing within 14 days of receiving your images.
  • Your concerns should be specific and detailed to help us understand the issues.
  • We will review your concerns and respond within 7 business days.

After reviewing your concerns, we may, at our discretion:

  • Offer additional editing of the images
  • Provide a partial refund
  • Offer a complimentary mini-session
  • Take other actions to address your specific concerns

Please note that artistic style, creative decisions, and subjective preferences regarding composition, lighting, or editing style are not grounds for refunds. We encourage clients to thoroughly review our portfolio before booking to ensure our style matches your expectations.

Digital Products and Downloads

For digital products, downloads, or online gallery access:

  • Due to the non-returnable nature of digital products, all sales of digital images, editing presets, and other downloadable content are final.
  • If you experience technical difficulties accessing your digital products, please contact us for assistance.
  • In the event of corrupted files or technical issues on our end, we will provide replacement files at no additional cost.

Prints and Physical Products

For physical products such as prints, albums, and framed artwork:

  • Damaged Products: If you receive damaged products, you must notify us within 7 days of receipt with photographs of the damage. We will replace damaged items at no additional cost.
  • Production Errors: If the product received differs significantly from what was ordered due to our error, we will correct the issue by providing a replacement.
  • Client Approval: For custom products that require client approval (such as album designs), once you have approved the design, any changes requested afterward may incur additional fees.

Returns of undamaged physical products are generally not accepted unless there is a significant production error on our part.

Refund Process

When a refund is approved:

  • Refunds will be issued using the original payment method when possible.
  • Processing time for refunds is typically 5-10 business days but may vary depending on your payment provider.
  • Any third-party processing fees or transaction costs may be deducted from the refund amount.

Gift Certificates and Prepaid Sessions

For gift certificates and prepaid photography sessions:

  • Gift certificates and prepaid sessions are non-refundable but may be transferred to another person.
  • Gift certificates have an expiration date of 12 months from the date of purchase unless otherwise specified.
  • Expired gift certificates may, at our discretion, be honored with a reactivation fee.

Commercial Photography Projects

For commercial photography projects:

  • Commercial projects require a 50% non-refundable deposit to secure the booking.
  • The remaining balance is due according to the payment schedule in the contract.
  • Cancellation policies for commercial projects are specified in the individual project contract and may differ from our standard policy.

Wedding Photography

Due to the unique nature of wedding photography:

  • Wedding photography bookings require a non-refundable deposit of 25% to secure the date.
  • An additional payment of 25% is due 6 months before the wedding date.
  • The remaining balance is due 30 days before the wedding date.
  • Cancellations made more than 9 months before the wedding date: Only the initial deposit is forfeited.
  • Cancellations made between 3-9 months before the wedding date: 50% of the total fee is forfeited.
  • Cancellations made less than 3 months before the wedding date: 100% of the total fee is forfeited.

In the event of wedding date changes:

  • If we are available on the new date, we will transfer your booking to the new date with a date change fee of £150.
  • If we are not available on the new date, standard cancellation policies apply.

Amendments to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. It is your responsibility to review this Refund Policy periodically for changes. Your continued use of our services following the posting of changes constitutes your acceptance of such changes.
